Meal Plan Management
Product & Planning Tutorial Guide
Role: Admin
As an Admin, you manage the weekly meal schedule — creating plan entries, assigning menus, confirming or re-opening plans, and reviewing kitchen-level meal details.
At a glance, this flow covers:
- Insert new plan entries (date, menu, holiday, kitchen model)
- Edit menus inline and confirm or re-open plans
- Review kitchen-level meal plans via the eye icon
Step 1 — Navigate to Planning
- From Home → tap Planning in the left sidebar (under Kitchen Operations).
- The Planning view shows all meal plan entries grouped by week and month.
- The right panel on Home shows Daily Watch — a live view of today's active kitchen plans.
The Daily Watch panel on the Home screen shows all kitchens with their current status, week day, date, and meal type. Use this for a quick daily overview before making any plan changes.
Step 2 — Insert a New Plan Entry
- In Planning view, tap the + Add button (top-right) to open the Plan Entry form.
- Fill in: Date (mm/dd/yyyy), Menu (select from dropdown), Holiday (N or Y), Kitchen Model (dropdown).
- Tap Save to add the new plan entry to the schedule.
R&B = Rice & Beans, R&G = Rice & Githeri, R&W = Rice & Waru (potato), R&B-M = Rice & Beans (Mixed), R&G(P) = Rice & Githeri (Peas), R&B(T) = Rice & Beans (Tomatoes), etc. The Kitchen Model field determines how many kitchens this plan applies to.
Step 3 — Re-Open a Closed Plan
- In Planning view, locate the plan row you need to re-open (status: Closed).
- Check the row checkbox (1 Selected will appear at the top).
- Tap the Reopen button (top-right) — this returns the plan to Open status.

Only re-open a plan when a correction is genuinely needed. Re-opening a Closed plan allows menu edits but may affect kitchen projections already submitted.
Step 4 — Confirm a Plan
- Select the plan row checkbox (status: Open or Active).
- Tap the Confirm button (orange, top-right) to officially confirm the menu for that date.

Plan Status Reference
| Status | Meaning |
|---|---|
| Open | Plan created. Menu confirmed. KM projections can be entered. |
| Active | KM has confirmed projections. Cooking in progress. |
| Closed | Actuals captured and plan finalized. |
Step 5 — Review All Kitchen Plans via Eye Icon
- In Planning view, each row has an eye icon in the far-right column.
- Tap the eye icon on any row to open the Review panel for that plan date.
- This shows which kitchens are included, their status, and whether the plan has been distributed.
Use the eye icon to verify that all kitchens are correctly assigned to a plan before confirming. This is especially important for Active plans where KMs are already entering projections.
Step 6 — Edit Menu for a Plan Row
- To change a menu: tap the Edit (pencil) icon in the top-right to enable Quick Edit mode.
- Tap the Menu cell on the row you want to change — a dropdown appears.
- The Confirmed column uses checkboxes — checked rows are already confirmed.
You can only edit the Menu field for Open rows. Closed and confirmed rows are greyed out. Use Reopen first if you need to change a confirmed or closed plan.
Step 7 — Select the Desired Menu
- The menu dropdown shows all available menu codes: R&B, R&G, R&W, R&B(C), R&B(C&T), R&B(T), R&G(C), R&B-M(T), etc.
- Tap your desired menu code to select it for that plan row.
Step 8 — Save Changes and Verify via Review Icon
- Tap Save (orange button, top-right) to commit all inline menu edits.
- After saving, tap the eye icon on the updated row to review that all kitchens reflect the new menu.
- Confirm the plan once you are satisfied that all menus are correct.

Always verify via the eye icon after saving menu changes — this confirms the menu has propagated correctly to all kitchens in the plan before KMs start projecting.
